Start with what the customer needs
Open the customer activity in Zweelie and establish what the person wants: an estimate, information about a service or help with an existing request. Check the contact details and the relevant business location. A clear starting point lets the next teammate understand the inquiry without repeating the opening conversation.
For example, Maya Chen asks about replacing office flooring and sends a floor plan. The useful opportunity is “Maya Chen — office flooring estimate.” That name describes actual work. A later text about access belongs with the same request; it does not need to become a second sales opportunity.
Keep the supporting details with the work
Use the relevant contact and opportunity associations in Zweelie to keep the floor plan and notes connected to Maya’s request. Record what she wants assessed and any timing or access details. When a colleague reviews the inquiry, the reason for calling and the material needed for the response should be easy to find.
If Maya sends a revision, add a note explaining what changed and identify the current document. Check important dates and amounts against the customer’s message before using them. This gives your team a shared basis for preparing the response.
Give the opportunity a next action
Assign the opportunity to the teammate responsible for progressing it. For Maya, that might be Jordan, who reviews the plan before preparing an estimate. Record that action and its follow-up time in Zweelie. Other teammates can contribute without leaving everyone uncertain about who will respond.
Use team Conversations to coordinate the review when needed, then keep the decision with the opportunity. A reminder helps Jordan remember the action; Jordan still completes the review and communicates the result.
Update the opportunity as the customer decides
After the response, update the status and notes to reflect what happened. The customer may need a revised scope, be ready to proceed or decide against the work. Keeping that outcome current helps your team spend attention on inquiries that still need it.
If the work is won, record it accordingly. Keep the opportunity’s value distinct from collected payments in your reporting. The record should explain the business decision and the next task without suggesting a payment or booking happened when it did not.
